Effective date: August 31, 2026
Eastmoor Digital (“Eastmoor,” “we,” “us,” or “our”) operates eastmoordigital.com, including its www address. This policy describes personal information associated with visiting our Website, contacting us, and discussing or receiving our services.
Our QuickBooks integration has a separate QuickBooks Privacy Policy. That notice continues to apply to information processed through the integration. This policy does not replace the privacy policy of a client’s website or govern that client’s independent use of personal information.
1. Information collected
- Information you provide: your name, email address, telephone number, company, website address, messages, appointment details, and other information you choose to share when contacting us or arranging a consultation.
- Service and business records: communications, project requirements, agreements, billing contact details, invoices, and payment-status information associated with a business relationship.
- Technical information: IP address, approximate location, browser and device information, pages requested, referral information, timestamps, cookie identifiers, and diagnostic or security logs. Fraud-prevention tools may also collect device characteristics, such as screen, browser, graphics, and storage capabilities, to help distinguish legitimate visits from automated or suspicious activity.
- Cookies and embedded services: identifiers and interaction information processed by services loaded through the Website, as described below.
Please avoid including passwords, payment-card details, sensitive personal information, or confidential client records in a general contact form.
2. How information is used
We use information to respond to inquiries, schedule meetings, evaluate requested work, provide authorized services, communicate about projects and support, administer billing, maintain business records, troubleshoot the Website, protect against abuse, and meet applicable legal obligations.
We also use website analytics and advertising tools to understand visits and interactions, measure advertising performance, and support remarketing or interest-based advertising.
If you receive marketing communications from us, you can ask us to stop using the unsubscribe method in the message or by emailing us. A marketing opt-out does not prevent necessary communications about an active project, transaction, or request.
3. Website providers and cookies
The Website’s contact form uses GrooveMail, consultation scheduling uses HubSpot, and the contact page includes Google Maps. Website fonts, images, and other assets may also load from Google and Groove services. Hosting and delivery providers, including HostMaria/StackCP and Cloudflare, process requests to deliver and protect the Website.
Our Website loads Google Tag Manager, Google Analytics, Google Ads, HubSpot analytics and advertising features, AdRoll (NextRoll), and Fraud Blocker. These services support analytics, conversion measurement, advertising, contact management, and fraud prevention. Cookies and similar identifiers can recognize a browser over time, measure activity, and support advertising on other websites. Depending on your interactions, account settings, and provider practices, information may be associated across devices or with other information a provider holds.
When an embedded service or remotely hosted asset loads, its provider receives technical information such as your IP address and browser information. Depending on the service and your settings, providers may use cookies or similar technologies and may associate activity with information from other websites or an account you hold with them. Their own privacy notices explain their processing: Google, HubSpot, and Cloudflare. Review the notices presented by Groove services when using the contact form.
You can use your browser settings to restrict or delete cookies. Blocking cookies or third-party content may affect forms, scheduling, maps, or other features. You can contact us by email instead of using an embedded form.
For additional information and provider controls, see how Google uses information from partner sites, Google’s advertising controls, and the NextRoll Service Privacy Notice and opt-out options. These controls are provider-specific; changing a browser or clearing cookies can affect a saved preference.
Browser privacy settings do not necessarily control how every embedded third-party service processes information. We do not provide a uniform Website response to browser Do Not Track signals. Do Not Track is different from legally recognized opt-out preference signals, such as Global Privacy Control. Where applicable law requires us to honor a recognized signal, that obligation applies. You may also contact us using the details below to make a privacy or opt-out request.
4. How information is shared
Information may be processed by providers that support hosting, content delivery, forms, scheduling, communications, accounting, payments, security, and technical operations. Providers receive information needed for their role; embedded third parties may also process information under their own notices.
Information may also be disclosed to professional advisers, to comply with a legal obligation or lawful request, to investigate misuse or protect rights and safety, or in connection with a business reorganization or transfer subject to applicable legal requirements.
Advertising providers, including Google and AdRoll, receive online identifiers and activity information through their Website tags. They may use that information to support interest-based advertising and measurement across websites. This activity may be considered a “sale,” “sharing,” or “targeted advertising” under certain privacy laws, even without a direct payment for personal information. To ask about a disclosure or request an opt-out where applicable law provides that right, email [email protected]. We will evaluate and respond to your request under applicable law.
5. Retention and security
We retain information for the time reasonably needed for its purpose, taking account of active inquiries and projects, accounting and tax requirements, security needs, legal obligations, and disputes. Different categories of records may require different retention periods. Deletion requests may be subject to lawful recordkeeping requirements.
We use safeguards intended to protect information from unauthorized access, loss, or misuse. No website, storage system, or method of transmission is completely secure.
6. Your requests and choices
You may email [email protected] to request access to, correction of, or deletion of personal information, or to ask about how it is used. Describe your request and your relationship with Eastmoor. Do not include sensitive identity documents in your first message. We may need to verify your identity and clarify the request before acting.
Depending on where you live and which laws apply, you may have additional rights, such as obtaining a copy of your information, opting out of certain processing, or appealing a decision. We will handle requests under applicable law. To ask us to reconsider a response, reply with “Privacy appeal” and explain the issue. You may also contact the privacy regulator or attorney general responsible for your jurisdiction.
7. Children and international visitors
The Website and services are intended for businesses and adult business contacts, not children under 13. If you believe a child has provided personal information, contact us so we can review the situation and take appropriate action.
Eastmoor operates in the United States. Our providers may process information in the United States or other countries where they operate. Privacy laws can differ between countries. This statement does not replace any safeguards required by applicable law.
8. Changes to this policy
When this policy changes, we will post the revised version with a new effective date. For material changes, we will provide a prominent Website notice or direct notice where appropriate or legally required. Where additional consent is legally required, a policy update alone does not replace that consent.
